Job Responsibilities

  • Manage calendars and compile documents for daily meetings and travel itineraries
  • Prepare, submit and track expense reports
  • Assist in reception duties; includes answering phone calls, accepting deliveries, liaising with building maintenance, welcoming out of town visitors, and setting up work stations
  • Assist in organizing and coordinating various meetings or conferences
  • Engineering team support
  • Assist the Occupational Health and Safety team with various administrative tasks.
  • Other administrative duties as required

Candidate Qualifications

  • Over five years of administrative assistant experience or an equivalent combination of education and experience
  • Must be proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Must be proficient in Outlook calendar, travel arrangement and itineraries
  • Must have strong work prioritization skills and be able to manage multiple tasks in parallel
  • Must possess strong communication skills as well as excellent phone skills
  • Must be able to work with all levels in the organization
  • WHMIS certification
  • Ability to anticipate and solve problems
  • Strong attention to detail and organizational skills
  • First aid training considered an asset
